Staff notes are a manager’s record about a member of staff: a day they did especially well, a mistake, something the next person should know. They are a section of the person’s profile — open someone, and Notes is further down the page. Nobody is notified when a note is written.
Writing at a branch — People → the profile
Under the branch in the sidebar, open People and click a person’s row to open their profile at this branch. At the top of Notes is the place to add a note; below it, the notes the branch has written about them, newest first — Load more shows older ones.
- Pick a kind: Praise, Concern or Note.
- Write what happened — be specific: the next manager to read it wasn’t there.
- Press Add note.
You can write about anyone based at the branch, and anyone granted to cover it: what a covering colleague does at your branch is written at your branch.
A note belongs to the branch it was written at: that branch’s managers and HQ can read it; other branches’ managers cannot — the covering colleague’s own branch included. When a branch changes managers, the new one can read what was written before.
Writing at HQ — the Company People page
Open someone in the Company’s People, and a holder of the company-wide notes permission sees Notes further down the page: every note about the person across all branches, each naming the branch it was written at. A note written here is an HQ note — only HQ can read it.
Who can read a note
Permissions and the branch decide, for the person the note is about too: a manager of that branch reads the branch’s notes about themselves, and may write one; staff without a notes permission read no notes at all, their own included. HQ notes are HQ’s alone.
Editing and deleting
- Edit — only the person who wrote a note can change it, and only while they can still write notes at that branch: after moving to another branch they can no longer edit what they left behind. The kind and the text can change, and an edited note says “edited”.
- Delete — the author can delete their own note, and HQ can delete any note (one that should never have been written, say). Deleting takes two presses: Delete, then Delete note to confirm. A deleted note can’t be restored.
